Form 1095-C information

Confused about 1095-C reporting?  Nearly everyone is.  When doing research on filling out Form 1095-C, I came across this helpful slide show put together by Mario K. Castillo.  He has also published a slide show covering the 1094-C.

The slide shows are a good starting point before diving into the IRS’s instructions, which can be found here.  The instructions estimate that each 1095-C form will take 12 minutes to fill out.  Multiply that by the number of employees that you have to arrive at an estimated time complete your 1095-C forms.

1095-A, 1095-B, 1095-C: What’s the difference, and what do I file?

If you know that you are going to have to file the 1095-C, you may have guessed from the “C” part of the form number that there are “A” and “B” forms as well.  Why all the forms, and who is supposed to file what forms?

The reason for the forms of course is due to the two government mandates.  One mandate covers individuals (cleverly called the  “individual mandate”) and it requires everyone to obtain health insurance coverage for themselves and their dependents.  The other mandate is directed to large employers (equally cleverly called the “employer mandate”).

Now if the government is going to mandate that someone does something, it must also create a form so that that someone can officially tell the government that in fact they did the thing that they were mandated to do and shouldn’t be penalized for failing to do the thing.

That’s where the the new forms come into play.  Individuals basically have two choices to obtain coverage (if they don’t already have coverage through a government program like Medicaid or Medicare).  They may buy an individual insurance plan (which could be purchased through a state or federal exchange (with or without a subsidy) or directly from an insurance company).  Or they may obtain coverage through their employer.

Website & Video Updates

Web site makeover!  Our old site was designed in FrontPage (yes, it was that old!) and nearly impossible to update.  A new design has been in the works for a few years, and is finally seeing the light of day.

While several of the software pages are still undergoing construction, the new design will make it easier for us to keep things up to date and add information on new products as they are released.

Videos that we previously recorded, but were never posted to the old site, can now be accessed from the video home page: http://datatechag.com/video/.

In addition to the quarterly & year end videos, you can now view payroll setup, employee entry and editing, in both English and Spanish.  Other topics available include Selection Table set up for the Human Resource Management software, entering Credit Memos in The Shipper’s Office, Harvest Records entry and Quarterly Reports in Spanish.

Even though you may have used the program for many years, you may find some tips and features you weren’t aware of by watching the videos.  We’d love to hear your feedback and feel free to make requests for topics you’d like to see recorded by replying to this post.

W2 Ordering & Printing Information

It’s that time of year again! Order your year end forms now to avoid stress and hassle later on.

W-2 forms will be the same format and form #’s as 2014. In addition to W-2 forms, all ACA (Affordable Care Act) Applicable Large Employers will be required to supply employees with the 1095-C form. These forms should be ordered along with your W-2’s.

Reminder: Datatech’s payroll software will not create the 1095-C form or electronic reporting file 1094-C. These will only be completed through the Human Resource Management software (HRMS).  If you will need to complete these forms and have not already purchased the HRMS, contact Jason at ext. 116 for ordering information.

Following are the guidelines and options for ordering and printing your W-2’s.

Be aware that office supply stores carry multiple three and four per page formats. Compatible forms will have the form number from this article printed on the W-2.  If you cannot determine whether a format is compatible, do not order it. We recommend ordering your forms from The Advance Group as they are familiar with compatible Datatech formats. Call them at (559) 227-1192 or (800) 522-5758.  Datatech does not supply W-2 forms or keep any extra forms on hand if you run out.

Order enough W-2’s! To help in deciding how many W-2’s to order, you can use an option on the Year End Tax Reporting menu for counting employees with year to date wages. This will tell you the current number of employees you will need W-2’s for. Be sure to add in additional W-2’s for new…
